Executive Forecast ("we," "us," or "our") operates the campo.coach platform. This Privacy Policy explains how we collect, use, store, and protect your information when you use our AI-powered sales coaching service ("Service").

2. Information We Collect

Account Information

When your administrator creates your account, we collect your name, email address, and organizational role. Passwords are stored using industry-standard bcrypt hashing and are never stored in plain text.

Coaching Session Data

During coaching sessions, we process voice audio in real-time to enable the AI coach interaction. Audio is streamed directly to our AI provider (OpenAI) for processing and is not permanently stored by campo.coach. We retain:

• Session transcripts (text representations of the coaching conversation)
• Performance scores and feedback generated by the AI
• Session metadata (date, duration, session type, product, customer type)

Usage Data

We collect standard usage data including pages visited, features used, and session frequency to improve the Service.

3. How We Use Your Information

We use your information to:

• Provide and operate the coaching service
• Generate personalized performance feedback and scoring
• Enable manager dashboards and team performance tracking
• Improve our AI coaching models and service quality
• Send service-related communications
• Comply with legal obligations

4. Data Sharing

We share your information only in the following circumstances:

• Within your organization: Managers can view session scores and performance data for representatives in their team. Individual session transcripts are visible to the representative and their managers.
• AI processing: Voice audio and session prompts are sent to OpenAI for real-time processing. This data is subject to OpenAI's data usage policies and is not used to train their models when accessed via their API.
• Service providers: We use cloud infrastructure providers (Amazon Web Services, Vercel) to host the Service. These providers process data on our behalf under strict contractual obligations.
• Legal requirements: We may disclose information if required by law, regulation, or legal process.

We do not sell your personal information to third parties. We do not use your coaching data for advertising.

5. Data Storage and Security

Your data is stored on servers located in the United States (AWS us-east-1 region). We implement industry-standard security measures including:

• Encryption in transit (TLS/HTTPS)
• Encrypted database connections
• Bcrypt password hashing
• Role-based access control
• Company-scoped data isolation (each organization can only access its own data)

6. Data Retention

We retain your coaching session data for as long as your organization maintains an active account. Session transcripts and scores are retained to enable historical performance tracking and trend analysis. Upon account termination, we will delete your data within 90 days, unless required to retain it by law.

7. Your Rights

Depending on your jurisdiction, you may have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data
• Export your data in a portable format
• Object to certain processing activities

8. Cookies

We use essential cookies to maintain your login session and language preferences. We do not use tracking cookies or third-party advertising cookies.

9. Children's Privacy

The Service is designed for professional use by pharmaceutical sales teams. We do not knowingly collect information from individuals under 18 years of age.

We may update this Privacy Policy from time to time. We will notify you of material changes via email or through the Service. The "Last updated" date at the top indicates the most recent revision.
